Using Your Phone

Key shortcuts

  • 13 = regular call pickup
  • 195 + Extension Number = call pickup for a specific phone (useful when two phones are ringing at once)
  • 173xx = access to system speed call (where xx is 00 through 99)

Transfer

  1. While on a call, press Transfer key (the call is automatically placed on hold).
  2. Dial number
  3. Announce call in privacy (if necessary).
  4. Press Transfer key again.
  5. Hang up.

Conference

  1. While on a call, press Conference key (the call is automatically placed on hold).
  2. Dial number
  3. Announce conference.
  4. Press Conference key again - all three parties are now talking.

Conferencing your two lines

  1. Sometimes you wind up with a call on line 1 and another call on line 2… If you want to conference them together, follow these steps.
  2. You have one of the calls on hold.
  3. Press the Conference key.
  4. Press the held line (the caller on hold).
  5. Press the Conference key again. All three parties are now talking.

Forward

  1. Without lifting the handset, press Forward Key (flashing indicator).
  2. Dial the number where calls are to be forwarded.
  3. Press the Forward Key again (indicator goes on steadily).To remove Forwarding – Press the Forward Key.

Speed Call: To Set

You may program a list of 20 frequently called numbers using a 2-digit code (00-19).
  1. Without lifting the handset, press Speed Call Key (flashing indicator).
  2. Dial 2 digit code (00-19), then the number you want to program.
  3. Press the Speed Call Key again. Then number is programmed. Repeat procedure for additional programming.

Speed Call: To Use

  1. Get dial tone.
  2. Press the Speed Call key and enter the 2 digit code (00-19)
 

Voicemail

LOGGING INTO VOICEMAIL

From your phone:

  1. Dial the Call Pilot access extension 5000 (or press the Message Key)
  2. Press #.
  3. Dial your password, then press #.

From another phone:

  1. Dial the Call Pilot extension 5000 (or press the Message Key)
  2. Enter your mailbox number followed by #.
  3. Dial your password, then press #.

From outside the office:

  1. Dial 800-223-7364 (or 847-991-6200)
  2. Dial the Call Pilot extension 5000 – Call Pilot will prompt you for your mailbox number.
  3. Enter your mailbox number followed by #.
  4. Dial your password, then press #.

VOICEMAIL AUTO LOGIN !!!

When you don't want to keep entering my mailbox & passcode to listen to voicemail
  1. Log all the way into your voicemail.
  2. Type 8-0-4.
  3. You'll hear "Auto login is off - to turn it on, press 1" (press 1).
  4. You should hear "Auto login has been turned on".

TO SET UP YOUR MAILBOX

Changing your password:

  1. LOG IN.
  2. Press 84.
  3. Enter your current password, then press #.
  4. Enter your new password, then press #.
  5. Enter your new password again, then press #.

Record your personal verification (your name):

  1. LOG IN.
  2. Press 89.
  3. Press After the tone, record your first and last name, press #.
  4. Start another activity or log off (83).

Recording a greeting:

  1. LOG IN.
  2. Press 82.
  3. Press 1 for external, 2 for internal or 3 for temporary greeting. (The external greeting will be played for both types of callers if no internal greeting is recorded.)
  4. Press 5, after the tone record your greeting, press # to stop recording.
  5. Press 2 to listen to the greeting you have recorded. (If not satisfied, press 76 to delete, 5 to re-record and # to end recording.)
  6. When you are satisfied with the greeting, press 83 to log off.

TEMPORARY GREETING (VACATION GREETING) !!!

To record a greeting that will expire on the date you set - use this when on vacation or out for the day
  1. Log into your voicemail.
  2. Type 8-2-3.
  3. You’ll hear "Temporary Greeting to record the greeting press 5" (press # to end recording).
  4. Follow the prompts to set the expiration date and time.

PLAYING MESSAGES

When your Message Lamp is lit, you have a new unheard message.
  1. LOG IN.
  2. Press 2 to listen to your messages.
  3. Press 76 to delete the message or press 6 to save the message and proceed to the next message.
  4. Log off when finished (83).

AFTER THE MESSAGE PLAYS:

  • To call the sender, press 9
  • To reply to the sender, press 71
  • To reply to the sender and all recipients, press 74 - Press 72 to play the list of recipients
  • To forward a message, press 73

EXPRESS MESSAGING

A fast method of leaving a message in another mailbox without having to log in to your mailbox first or ring their phone.
  1. Dial the Express Messaging extension 5001
  2. At the prompt, dial the mailbox number then press #.
  3. Leave your message after the tone.
  4. Hang up.

TO TRANSFER CALLERS INTO A MAILBOX:

  1. With a caller on the line, press the Transfer key.
  2. Dial the Express Messaging number 5001
  3. At the prompt, dial the mailbox number followed by #.
  4. Press the Connect key and hang up.

RECORD A MESSAGE TO SINGLE OR MULTIPLE MAILBOXES

  1. LOG IN.
  2. Press 75, enter mailbox numbers or distribution list numbers, each followed by #. Press 0# to cancel the last entry, and the address is deleted.)
  3. When you have finished entering mailbox addresses, press # again to end the list.
  4. Press 5 and record your message.
  5. Press # at the end of recording.
  6. Press 2 to listen to your message.
    1. Press 79 to SEND your message. OR…
    2. To send your message with an option, press 70 (options available: 1-Urgent, 4-Private, 5-Marked Acknowledgement, 6-Future Delivery). Then press 79 to SEND your message

CREATE A DISTRIBUTION LIST

Each mailbox user can create up to 99 Distribution Lists with up to 200 mailbox addresses each.
  1. While logged in, press 85.
  2. Enter a number from 1 to 99, then press #.
  3. Press 9 to record a name for the list.
  4. Press 5, record the list name. Press # to end the recording.
  5. Press 5, then enter the first address, then #.
  6. Continue entering addresses, pressing # after each. (To cancel the last number you entered in the list, press 0#.)
  7. When the list is complete, press #.

PLAY, EDIT OR DELETE A DISTRIBUTION LIST

  1. While logged in, press 85.
  2. Enter the list number followed by #. If you don't remember the number, press * to hear a summary of your lists.
    1. To play the contents of the list, press 2.
    2. To add to addresses, press Enter address followed by #. When the list is complete, press # again.

MISC. QUESTIONS AND PROBLEMS

  • Q: I receive Caller ID (number only) on my display, but it doesn't always work. Sometimes I get no number, sometimes I get an off-the-wall number. It just doesn't work consistently. The same thing happens with voicemail.
  • A: There are many forces at work here. Calls from residences can have Caller ID blocked or the call can be placed from a second line. Calls you receive from a business may be made using a pool of lines used only for outbound calls, and the numbers of those lines may not even be the same area code as the number you use to call them back. Other companies may have thier phone system programmed to only send out the main number for Caller ID with each call. Complicating this is the fact that some phone companies don't communicate Caller ID to other phone companies.

SPEAKER PHONE INSTRUCTIONS

Directions for using the PolyCom (the three sided phone that looks a bit like a alien spaceship):
  1. To get a dial tone (or answer a call) press the "ON" button.
  2. To hang up, press the "OFF" button.
  3. If you want to conference in multiple people on multiple outside phone lines, you will have to use a normal gray phone with a "conference" button to "collect" all of the calls. Then, still using the normal gray phone, "collect" the PolyCom.
How to "Collect" calls using the Conference button:
  1. Begin the call on the normal gray phone.
  2. While the first party is on the line, press Conference key. This will put the first party on "hold" you will hear a dial tone.
  3. Dial number for second party... once they answer, you can press the Conference key again. All parties will be able to hear each other.
  4. You can repeat this procedure and have up to 6 parties (including yourself) conferenced together. Once everyone is on the Polycom, you can hang up the normal gray phone.

USING THE INTERCOM

  1. Dial 61 pause 01 for using the Intercom in the "Main" building.
  2. Dial 61 pause 02 for using the Intercom in the "Rentals" building.
  3. Dial 61 pause 03 for using the Intercom in the "Express" building.
  4. Dial 61 pause 00 to page all three areas.
  5. When you hear a tone, start talking.
  6. Hang up when done.
